GEA and Facility Heating: An Admin Buyer's FAQ

I'm the office administrator for a 125-person food processing company, and I've been in this role since 2020. That means I handle the purchasing nobody else wants to own — everything from shop towels to a used GEA compressor when ours finally died. I manage about $800K in annual spend across seven vendors, and I report to both operations and finance. These are the questions I get asked most often, answered with what I've learned the hard way.

1. Is the GEA supplier portal actually useful? Or is it just another login to manage?

Honestly? I was dismissive at first. Another portal, another password. But after using it for about a year, it's basically the first place I check when we order GEA parts or need documentation.

The portal gives you access to order history, certificates, and technical drawings. In 2024, we had a surprise inspection and needed pressure vessel documentation. It took me ten minutes to pull everything from the portal instead of begging our vendor for scans. That alone made it worth it.

You do need to get your IT team involved if you use SSO, and the interface isn't the most modern. But as of January 2025, it's reliable. Bottom line: register, download what you need, and keep your login credentials somewhere your team can access. It beats the old email-and-spreadsheet system.

2. Should I buy a used GEA compressor? Here's what I learned.

I get the temptation. We bought a used GEA screw compressor in 2023, and I still kick myself for not digging deeper into its service history. The price was about 45% of a new unit — based on used equipment listings I checked in January 2025, that's pretty typical. But that unit had undocumented maintenance, and eight months later it seized up. The total cost — repair, emergency rental, lost production time — ended up higher than a new compressor would have been.

That doesn't mean used is always a bad idea. If the seller provides full maintenance records and a certified inspection, a used GEA compressor can be a smart buy for low-duty or seasonal applications. Our situation was a 24/7 production line, which is not the right environment for a gamble.

Your mileage may vary if you have redundancy or a smaller facility. What I learned: ask for service reports, not just a warranty. 'Runs fine' is not the same as 'properly maintained.'

3. Is GEA worth the premium over cheaper brands?

For mission-critical equipment, I think so — but not for everything.

GEA has deep expertise in ammonia refrigeration systems, which is exactly what our plant runs. Their compressors and separators are engineered for industrial duty cycles, and the aftermarket support is better than what I've seen from budget brands. When a compressor fails, you don't want to wait three weeks for a part.

That said, we don't buy GEA for every component. For non-critical valves and fittings, we use suppliers that offer faster delivery and lower prices. The fundamentals haven't changed: match the equipment to the risk.

One thing I won't do is bash other refrigerants like CO2 or Freon systems. Every technology has its place, and GEA offers solutions across them. But for our existing ammonia plant, staying with GEA made sense for continuity and training.

4. Hot water heater replacement: what should I check first?

Replacing a hot water heater seems straightforward until it isn't. We replaced one for our office building in 2024, and here's what mattered:

First, size is not just tank capacity. It's the first-hour rating — how much hot water the unit can deliver continuously. We almost bought a unit that was too small because we only looked at the tank volume.

Second, energy source and efficiency. According to the U.S. Department of Energy (energy.gov), heat pump water heaters can be up to 60% more efficient than conventional electric models, but they need more space and airflow. We didn't measure the mechanical room carefully, and the new heat pump model wouldn't fit. We ended up with a standard high-efficiency gas unit instead.

Finally, check your local utility rebates before you buy. The upfront price gap between a heat pump and a standard model can shrink by hundreds of dollars with rebates (Source: U.S. DOE, accessed January 2025; verify current rebates in your area).

5. Can a kerosene heater be a backup if our main heat fails?

The short answer: yes, if you follow the safety rules. The long answer is why we keep one kerosene forced-air heater in our maintenance shop, not in an office.

Kerosene heaters produce carbon monoxide. The U.S. Consumer Product Safety Commission (CPSC) warns that unvented kerosene heaters should only be used with good ventilation and never in sleeping areas. We use ours only in an emergency, for a few hours at a time, with a window cracked open.

You also need the right fuel: K-1 kerosene, not diesel. Using diesel creates more soot and odors, and it can damage the wick on a portable heater. And a manual-ignition kerosene heater can work during a power outage, which is exactly why we chose that style.

This worked for us because our shop is open and rarely below freezing. If you're heating an enclosed space with no ventilation, a kerosene heater is not the answer.

6. How to replace a thermostat: should I DIY it or call a pro?

I replaced a thermostat myself once. I wired it wrong, and the heating system ran for hours without shutting off. It cost me $300 to fix the damage. So the honest answer is: know what you're dealing with before you pick up a screwdriver.

If you have a low-voltage system — most modern furnaces and central ACs do — and you see at least four wires, including a common 'C' wire, you can probably do it yourself. Take a photo of the old wiring first. The smart thermostats I've installed were basically color-coded and took about 20 minutes each.

If you have only two wires, or your system uses line voltage (common with older electric baseboard heaters), call a professional. The risk of damaging equipment or starting a fire is real.

Also, don't buy the most expensive thermostat just because it has the most features. The U.S. Department of Energy recommends setting your thermostat to 68°F during the day and lowering it at night. A basic programmable model already does that. What matters more is correct wiring, proper location away from drafts, and a level install.

7. Repair or replace? How to decide.

This used to be a simple math problem: compare the repair bill to the cost of a new unit. But in 2025, there are more factors. New equipment is often more energy-efficient, and energy prices have gone up. What was the right call in 2020 may not be the right call now.

I use a rough rule of thumb: if a repair costs more than 50% of the replacement price, I replace it. If the equipment is more than 10 years old and no longer meets current efficiency standards, I replace it even if the repair seems cheap. I also factor in downtime. A 24-hour breakdown during peak production is far more expensive than a planned replacement.

That said, some equipment is worth repairing because the replacement lead time is months. That's why we keep a good relationship with our GEA service rep. The fundamentals haven't changed — reliability matters more than optics — but the execution has transformed. Old habits like 'run it until it dies' can cost you more than a proactive replacement.
